Rental Car Damage Inspection

A check-out and check-in record for one rental: the odometer, fuel or charge and warning lights each way, every panel walked with the renter at pickup and answered against that record at return, the interior and the items handed over, a log of any new damage with photos and charges, and signatures from the renter and the agent at both ends.

Recording a crash or a claim — the incident, the other driver, witnesses and the appraiser — rather than a rental handover? That has its own form: Vehicle damage report

A rental car damage inspection form records a rental car's condition twice: when it goes out with a renter, and when it comes back. At check-out the agent and the renter walk round it together, mark every scratch and dent, note the mileage and fuel, and both sign. At return the same car is walked again and each panel is compared with the check-out record, so the only question left is whether anything is new. Fill it in here and download the PDF without an account — or speak while you walk round the car, and the document writes itself.

Why both ends of the rental matter

A damage charge is only as strong as the check-out record behind it. If the scratch on the rear bumper was not written down and photographed when the car left, nobody can show it is new when it comes back — and a fair renter has no way to show it is old. The same record protects both sides.

That is why this form keeps both walk-rounds in one document. The check-out half is what the renter signs at the counter; the return half stays folded away until the car comes back, and then every panel is answered against what was recorded before.

Walking the car at check-out

Walk the same route every time — front bumper, hood and windshield, down the driver side, across the rear, up the passenger side, then roof, mirrors, glass, lights and wheels. Mark every panel, even clean ones, and log each existing mark with its size and a photo. Then take wide photos of all four corners so the whole car is on record.

Ask the renter to walk it with you and point out anything you missed. Their signature at check-out says they saw the car and agree with the marks recorded, which is what makes the return comparison fair.

Readings and handed-over items

Damage is not the only thing that gets disputed. Write down the odometer and fuel level (or battery charge for an electric car) at both ends, photograph the dash so the numbers can be read, and note any warning lights that were already on.

List what went out with the car — keys and fobs, a child seat, a charging cable, a toll tag — so the return check can confirm each one came back. A missing key fob can cost more than a small dent.

At return: same, new, or worse

At check-in each panel gets one of four answers: the same as at check-out, new damage, damage that was there but is now worse, or could not be checked because the car is dirty, wet or the light is poor. Anything new or worse becomes a finding at the top of the report, and goes into the new-damage log with its size, photos and an estimate.

After-hours drop-offs are where most disputes start, because the renter is not there to see the inspection. Say so on the form, inspect as early as possible, and photograph everything — including the panels with nothing on them.

Common questions

What should a rental car damage inspection include?

The rental agreement and vehicle details, the odometer and fuel or charge at check-out and return, every exterior panel, glass, lights and wheels, the interior, the items handed over, photos from all four corners at both ends, a log of any new damage, and the renter's and agent's signatures at both ends.

How do you tell new damage from old?

By comparing it with the check-out record. A mark that was logged and photographed at pickup is not new; a mark on a panel recorded as clean is. Rust, dirt or faded edges inside a scratch also suggest it is older than the rental.

Should the renter sign the inspection?

Yes, at both ends if they are there. At check-out their signature confirms the marks recorded; at return it confirms they were shown anything new. If the car was dropped off after hours, the form says so and the photos carry the weight.

Can renters use this form too?

Yes. A renter who walks the car and photographs it with this form at pickup and return has a dated record of their own to compare with the company's, which is useful if a damage charge arrives later.

What if the car is too dirty or it is too dark to inspect at return?

Mark those panels "could not check" rather than "same as at check-out". They show in the report as a watch item, and they can be checked once the car is washed or it is light, with photos added then.
